Privacy Policy

1. Information we collect

• Account details. Your name, email address and church details when you create an account or join a church.
• Your content. Sermons, series, services, tasks, comments and files you create or upload.
• Billing details. Handled by Stripe. We receive your subscription, billing status and the last four digits of your card, never the full card number.
• Usage data. Pages visited, features used, device and browser type, and approximate location from your IP address.
• Integrations you connect. If you connect Planning Center, we store the access it grants and the plans and slides you choose to sync. ServantSync, our app for the media computer, stores the device name and connection details it needs to pair with your church.
• Forms on our website. When you request the playbook, apply for the Founding Pastor Program, or contact us, we keep what you submit.

2. How we use it

• To run ServantSuite: save your work, sync your team and your room, and keep your account secure.
• To send service emails: sign-in, invitations, reminders and billing notices.
• To send product and marketing emails you can unsubscribe from at any time.
• To understand how the product is used and improve it.
• To measure and improve our advertising (see section 4).

We do not sell your personal information. We do not use your sermons or other content to train AI models, and we do not allow our providers to.

3. AI features

When you import an existing sermon, its text is sent to Anthropic, our AI provider, to recognize points, verses and stories. Anthropic processes it to return the structure and does not use it to train its models. Nothing else you write is sent to an AI provider unless you use a feature that says so.

4. Advertising and analytics

Our website uses the Meta Pixel, and our app reports sign-ups and subscriptions to Meta's Conversions API, so we can measure which ads work and show ServantSuite to people who have visited our site. Email addresses and account ids are hashed before they are sent to Meta. We also use PostHog and Vercel Analytics to understand how people use the site and the app. When analytics cookies are allowed, we also keep a note of how you found us, such as the site or campaign link that sent you, with your account. Visitors from the EU, EEA, UK and Switzerland are asked before advertising or analytics cookies are used, and anyone can change their choice under Cookie settings on our website or from Help in the app. See our Cookie Policy for details.

5. Who we share it with

We share information only with the service providers that run ServantSuite for us, under contracts that limit their use to providing that service: Clerk (accounts), Neon (database), Cloudflare (file storage), Vercel (hosting), Stripe (payments), Resend (email), PostHog (analytics), Meta (advertising measurement), Anthropic (sermon import) and bible-api.com (scripture lookups). Planning Center receives data only if you connect it.

We may also disclose information if the law requires it, or as part of a merger or sale of the company, in which case this policy continues to apply.

6. Storage and security

Data is encrypted in transit and at rest. Our database and analytics are hosted in the United States. Access within ServantSuite is limited to people who need it to support you.

7. How long we keep it

We keep your account and content while your account is active. If you cancel ServantSync, your content stays and the editor stays free. If you delete your account, we delete your content within 90 days, except where we must keep records such as invoices.

8. Your choices and rights

You can view, edit, export or delete your content from your account at any time, and export any sermon as PDF, Word or plain text. To request a copy of your personal data, correct it, or delete your account, email hello@servantsuite.com. Depending on where you live, you may have additional rights under laws such as the GDPR or the California Consumer Privacy Act; we honor those requests.

9. Children

ServantSuite is for church staff and volunteers aged 16 and over. We do not knowingly collect information from children.

10. Changes

If we make a significant change, we will update the date above and let account holders know by email.
